Pillar 3 · Systems

Business systems instead of spreadsheets

I build custom CRMs, process automation, integrations and web applications for companies that do too much by hand. I run two SaaS platforms of my own, OrderFLY and NaszPięknyDzień, so I know what it takes to keep a system running for years.

One order, no manual work6 systems · 0 clicks

Diagram: an order from the online store goes on its own to the CRM, the invoicing software, the warehouse and the courier, and the customer gets a text message with the tracking number. Nobody retypes anything.

  • from €700to automate one process, no VAT added
  • 2–12 weeksfor an integration, depending on the systems
  • 2 SaaS platformsthat I built and maintain myself
  • Make, Zapier, n8nor custom code when the tools aren’t enough
In short

I automate a single process from €700 in 1–4 weeks, integrate two systems from €1,200 in 2–12 weeks, build a custom CRM from €7,000 in 8–16 weeks and a custom web application from €9,300 in 3–6 months.

I start with what your team does by hand today and how long it takes. Often it’s enough to connect the software you already have instead of buying another tool.

01Diagnosis

When a company needs a system

Not every problem needs new software. These signs tell you that manual work costs more than a system would.

  1. 01

    Your data lives in spreadsheets

Customers, quotes and orders sit in several files. Everyone has their own version, and nobody knows which one is current.

FixOne database of customers and orders, with a change history.

  2. 02

    You retype data between programs

Orders from the store go into the invoicing software by hand, and someone corrects the stock levels in the evening.

FixAn integration that moves the data on its own.

  3. 03

    Quotes get lost in email

Sales reps send quotes from different inboxes, and you don’t know which ones are waiting for an answer.

FixQuotes in a CRM, with a customer preview and online approval.

  4. 04

    Off-the-shelf CRM doesn’t fit

You pay for licenses for the whole team, and half the work still happens outside the program, because it doesn’t know your process.

FixOrderFLY adapted to your process, or a system built from scratch.

  5. 05

    The same emails every day

You write order confirmations, payment reminders and shipping updates by hand.

FixAutomatic emails and text messages after every event.

  6. 06

You can’t see the numbers in real time

The sales report is put together by hand once a month, and it’s out of date before you read it.

FixA dashboard with data that updates itself.

What does manual work cost you?

Enter how many people retype data between programs and how many hours a week it takes them.

Manual work costs you a year €15,600

That’s 520 hours of work a year.

This is an estimate. On a call, I check which steps can be fully automated. Ask about automation

04Tech

I pick the tools to fit the job

First I check whether a ready-made tool is enough. I write code where it pays off.

  • Make, Zapier, n8n: when ready-made apps need to be connected quickly, without programming
  • Custom scripts and AI: when the data is unusual, for example PDF invoices or orders that arrive by email
  • Laravel and PHP, Vue or React: when you need a full system or a SaaS product

The system stays yoursThe code, data and documentation are yours, and the system runs on your server or on mine as part of maintenance. The documentation lets someone else develop it if you want.

  • ERP, invoicing and inventoryComarch Optima, Subiekt GT and nexo, Symfonia (popular Polish ERPs), inFakt (Polish invoicing software), or tools popular across the EU, such as HubSpot, Pipedrive, Xero or Exact, via their APIs.
  • Stores and marketplacesWooCommerce, BaseLinker (order management hub), Allegro (Polish marketplace). Two-way sync with WooCommerce in OrderFLY.
  • PaymentsStripe, instant bank transfers and BLIK (Polish payments), with automatic confirmation and invoice.
  • CommunicationEmails and text messages sent after an event: an order, a payment, a status change.

Two platforms I maintain myself

OrderFLY is a B2B sales platform: CRM, quotes with online preview and approval, orders, inventory, payments and two-way WooCommerce integration. It runs in multi-company mode.

06Process

How I work

First a process map, then the smallest solution that works. Further development only once there’s data.

  1. Process map

I write down who does what, in which program, and how long it takes.

    1 week
  2. Plan

Scope, data flow and a fixed price. You know what you’ll get and what it costs.

    3 working days
  3. Build

In stages, starting with the process that takes the most time. Tests on a copy of your data.

    1 week – 6 months
  4. Support

Bug fixes at no extra cost: 30 days for automations and integrations, 60 days for CRM and web apps. Then monitoring and development as part of maintenance.

07Fit

Who this is for

I’m the best fit if

  • your team retypes data between programs every day
  • you sell to businesses and work with quotes
  • off-the-shelf software doesn’t fit your process
  • you want one person responsible for the process, the code and the maintenance

I’m probably not a fit if

  • you’re looking for a large ERP rollout, such as SAP
  • you need a permanent team of a dozen or more developers
  • a setting in software you already have would solve the problem: then I’ll simply tell you
08Questions

Questions about business systems

How much does a business system cost?

Automating one process starts at €700, an integration at €1,200, a custom CRM at €7,000 and a custom web application at €9,300. These are final prices: I am VAT-exempt, so no VAT is added. You get a fixed price after the process map. Payment: a deposit to start, the rest on acceptance.

Off-the-shelf CRM or custom CRM?

If an off-the-shelf program fits 80% of your process, stay with it, and I’ll automate the rest. If your team does half the work outside it, I first check whether adapting OrderFLY is enough, and only then propose a system built from scratch.

What is OrderFLY, and do I have to use it?

It’s my B2B sales platform with CRM, quotes, orders, inventory and payments. You don’t have to: it’s one option, when it fits your process and saves you the cost of building from scratch.

Can you connect the software we already use?

Usually yes, if it has an API or a data export. I’ve connected Comarch Optima, Subiekt, Symfonia, BaseLinker, WooCommerce, Stripe and inFakt. Tools popular across the EU, such as HubSpot, Pipedrive, Xero or Exact, connect the same way, via their APIs.

What if our process or software changes?

Under a support plan, I monitor automations and integrations and make changes in stages. The documentation is yours, so someone else can take over the system too.

Do you use AI?

Where it saves work: reading data from invoices and emails, suggestions in the CRM, draft replies. I use models through provider APIs, such as OpenAI or Anthropic, which do not train on your data. The provider is listed in the data processing agreement, and decisions stay on your side.

Where is our data stored, and is it GDPR compliant?

Data stays on your server or on mine in the EU. I sign a data processing agreement (GDPR) before I get access to any personal data. AI runs through provider APIs that don’t train on your data.

Are fixes after launch included?

Yes. I fix bugs reported within 30 days of launching an automation or integration, and within 60 days of launching a CRM or web app, at no extra cost. After that you can take maintenance with monitoring and development.
